Terms of service

In force from: 27 October 2026

1. About these terms

These terms set the rules for using Mellos: the website and the service available after signing in. They are the terms of service (regulamin) required by Article 8 of the Polish Act on Providing Services by Electronic Means. You can read, save and print them on this page at any time.

Mellos is provided by RiseSystems Bartosz Korzeniowski, ul. Gen. Józefa Longina Sowińskiego 46/1c, 40-018 Katowice, Poland, tax ID (NIP) 6282306462, REGON 545249507 (“we”, “us”). You can write to us at hello@mellos.app.

How we process personal data is described in the privacy policy.

2. What Mellos is

Mellos is a workspace for teams: a board, a notes canvas, goals, docs and files, a calendar, a chat, Gmail and Outlook mailboxes, and AI agents that work when someone asks them. The Neutral critic on the website can be used without an account; everything else needs one.

To use Mellos you need an internet connection, a current version of a common web browser with JavaScript and cookies turned on, and an email address or a Google or GitHub account.

We keep building Mellos and may add, change or remove features. If a change takes away something important from a plan you pay for, we'll tell you before it applies, and you can cancel the plan.

3. Your account

The contract for using Mellos is made when you create an account, and it runs for an indefinite period. Creating an account and using the Free plan costs nothing.

You need to be at least 16 years old. Use an email address that is yours and that you read. One account is for one person.

Keep your email and your Google or GitHub account safe: whoever can sign in as you can act as you in Mellos. If you think someone else has got into your account, write to us at once.

If you use Mellos for a company or other organisation, you confirm that you may accept these terms on its behalf.

4. Projects

Work in Mellos happens in projects. Whoever creates a project is its first admin. Admins invite people, set roles and permissions, turn modules on or off, add agents, integrations and shared mailboxes, and choose the project's plan.

Members see and change a project's content as far as their roles and permissions allow. Admins are responsible for who they invite and for what they connect to the project.

5. Plans

Each project is on one plan: Free, Pro, Business or Enterprise. The plan covers everyone in the project. Every plan has every module; plans differ in how many people a project can have, AI credits a month, storage for files and docs, the project's own agents, integrations, mailboxes and which model levels agents may use. The current limits are on the pricing page and in the project's settings.

Each plan includes AI credits a month. An agent's answer uses 1, 3 or 10 credits depending on the model level, and more when it reads a long doc or email. Credits come back on the 1st of each month (UTC); unused ones don't carry over. On Free, a person's credits are also limited across all their Free projects together. When credits run out, agents wait until the next month or a bigger plan; everything else keeps working.

Moving to a smaller plan, or back to Free, never deletes anything. What's over the new plan's limits stays; only adding more is stopped.

We may change Free's limits. We'll tell you before a change applies, and it never deletes what a project already has.

Enterprise is agreed with us individually, in writing. Where that agreement differs from these terms, the agreement applies.

6. Payments

Pro and Business are bought for one project by one of its admins, as a subscription. They are sold through Polar (polar.sh), which is the merchant of record: Polar is the seller, takes the payment, issues the invoice and handles sales tax, under its own terms, which you accept at checkout. The price, with tax, is shown before you pay.

A subscription renews for each billing period until it's cancelled. An admin can change or cancel the plan at any time in the project's settings; a cancelled plan lasts until the end of the period already paid for. If a renewal isn't paid, the plan lasts three more days and the project then moves to Free.

Refunds go through Polar, under its terms. If you're a consumer, you also keep every right the law gives you, including the right of withdrawal described in section 15.

7. AI agents

Agents are AI: what they write is generated by models from outside providers (named in the privacy policy) and can be wrong, incomplete or out of date. Check it before you rely on it, and don't treat it as professional advice, such as legal, financial or medical advice. Everything an agent makes in Mellos is marked as the agent's.

Agents work only when someone asks them, or on a schedule the project's admins turn on (the weekly summary). They never send email: they write drafts, and a person decides whether to send them.

We claim no rights in what agents write for you. You decide how to use it and are responsible for that, including making sure it doesn't infringe anyone's rights.

Integrations connect a project's own agents to services outside Mellos. Those services are provided by others under their own terms; the project's admins choose them, and agents act in them on the project's instructions.

8. Mailboxes

Connect only a mailbox you're allowed to connect, and as a shared mailbox only one that everyone in the project may read.

An email goes out from Mellos only when a person presses Send and confirms. Whoever sends it is responsible for it, as for any email they send.

9. Your content

What you and your team put in Mellos (text, notes, docs, files, messages, drafts) stays yours. You allow us to do with it only what we need to provide Mellos: store it, back it up, show it to the people the project's settings allow, and send it to AI providers when someone asks an agent. This permission ends when the content is deleted; it leaves the backups within 14 days.

You're responsible for your content and for having the right to put it in Mellos.

We don't look at a project's content, except when you ask us to (for example, for support), when it's needed for security or to deal with a report of illegal content, or when the law requires it.

We back up every night, but keep your own copies of what matters to you.

10. Acceptable use

When using Mellos, don't:

  • break the law, or put illegal content in Mellos;
  • infringe other people's rights, including copyright and privacy;
  • send spam or misleading email from connected mailboxes;
  • upload malware, or try to get into accounts, projects or systems you're not allowed into;
  • get around Mellos's limits, plans or security, overload it, or use it through automated means other than those Mellos offers;
  • use agents to produce content that is illegal, harms others or breaks the usage policies of the AI providers behind them, which bind us too;
  • resell access to Mellos without our written consent.

11. Reporting illegal content

If you come across content in Mellos that you believe is illegal, write to hello@mellos.app: say where it is (a link, if you can), why you think it's illegal, and give your name and email address. We'll look at it promptly, act if needed and tell you what we decided.

If we remove content or restrict an account or project because of it, we tell the person affected what we did and why, and they can reply to have us look at it again.

hello@mellos.app is also our point of contact for users and for authorities under the EU Digital Services Act. We answer in Polish and English.

12. Suspending and ending

You can stop using Mellos and end the contract at any time. You can delete your account in Settings → Account; that cancels any plan you pay for, which then lasts until the end of the period already paid.

We may suspend or close an account or project that seriously or repeatedly breaks these terms or the law, or that puts other people or Mellos at risk. Unless the law or safety requires otherwise, we'll tell you first, say why, and give you time to put it right or take your data out.

If we decide to stop running Mellos, we'll tell you at least 30 days before and give you time to take your data out.

13. Availability

We work to keep Mellos running and your data safe, but we can't promise it will always be available or free of faults. Maintenance, faults or problems at our providers can interrupt it.

14. Liability

We're liable for not performing the contract, or performing it improperly, under the general rules of Polish law.

Towards business users, we're liable only for damage we cause through our fault, not for lost profits, and in total up to the amount paid for the project's plan in the 12 months before the event that caused the damage.

Nothing in these terms limits liability for damage caused intentionally, or the rights consumers have under the law, including when a digital service doesn't conform to the contract.

15. Consumers

If you use Mellos as a consumer, or as a sole trader for whom the contract isn't of a professional nature (Article 385⁵ of the Polish Civil Code), anything in these terms that would give you fewer rights than the law does doesn't apply to you.

A consumer may withdraw from a contract made at a distance within 14 days without giving a reason. A Free account can also simply be deleted at any time. For a paid plan, the right of withdrawal is exercised with Polar, the seller, under its terms and the law.

A consumer can also use out-of-court ways of settling a complaint, for example with the help of a municipal or district consumer ombudsman (rzecznik konsumentów) or the Trade Inspection (Inspekcja Handlowa).

16. Complaints

Send complaints about Mellos to hello@mellos.app: describe the problem and say how we can reach you. We answer within 14 days.

Complaints about a payment, an invoice or a refund are handled by Polar, the seller; you can also write to us and we'll help.

17. Changes to these terms

We may change these terms for important reasons: new features or plans, a change in the law, or security. We'll tell you by email or in Mellos at least 14 days before a change applies. If you don't agree, you can end the contract before then. A change never affects a period you've already paid for.

18. Law and disputes

Polish law applies. If you're a consumer, this doesn't take away the protection of the mandatory law of the country where you live.

Disputes with business users are decided by the common court with jurisdiction over our place of business. Consumers may go to the court the law provides.
